Addressing Boards & Committees

As a municipal government, we welcome your insights and questions. Our organization is guided by the Village Board, which is elected at large from our service area in local, public elections.

Our Board encourages your input as a customer or interested party, especially in helping us achieve our mission, vision, and values. The Board will make your comments under advisement. In certain situations, a Village staff member may be directed to get in touch with you to resolve your issue or get additional information.

There are several opportunities to connect with the Board.

Opportunities for Comments

Regular Board Meetings

Regular Board meetings occur on the first and third Monday of the month at 6:30 pm at the Village Hall Board Room. The public is welcome to speak during "public appearances," which is the fourth item on the agenda.

Public Hearings

A sign-up sheet will be made available for anyone wishing to address the Board and will be called in order as signed in. Unless the Village President states otherwise, each person will be allowed to speak for three minutes.

Committee Meetings

Similar to Village Board meetings, a signup sheet will be made available, and speakers will be granted three minutes.

Other ways to Contact the Board

Board members do not have offices at Village Hall. Call the Village Clerk at (608) 839-4704 to covey your message. To send an email to a specific board member, visit our website and search "Village Board".

Mail received by the Village is routinely delivered to the respective Board member. Write to a Board member at the following address: Name of Board Member c/o Village of Cottage Grove, 221 E Cottage Grove Rd, Cottage Grove, WI 53527.

Email all Board Members

Please note, this email address delivers to the Village President, the Board Members, Village Administrator, Deputy Administrator, Communications Manager, and Village Clerk.

How to Address the Board/Committee

If you want to speak, you must be present when the Village President opens the public forum. Meetings convene no earlier than 6:30 pm. Wait to be recognized before you approach the podium. If you have documents to share with the Board, please hand them to the Village Clerk. At the podium, turn on the mic, introduce yourself and state your address. Please keep your comments focused and limited to three minutes or less. The Village President may need to limit speaking time due to time constraints.

What to Expect

As a valued stakeholder, your comments will be given respectful attention. Board members may ask questions to clarify your statements but will generally refrain from further discussion. It is not an appropriate venue for extensive discussion or debate on matters just brought to their attention.

Why? The Purpose of Board meetings are for the Board to discuss and take action on business items. By law, public meetings are the only place and time they are allowed to make binding policy and business decisions.

Public Forum Etiquette

Please keep in mind the following bullet points when addressing the board:

  • Refrain from making degrading or defamatory comments about any person, business, or organization.
  • Anyone who abuses the opportunity to address the board will be directed to stop their presentation and leave the podium. Disruptive behavior will not be tolerated, and security may escort disruptive individuals out of the meeting if necessary.
